{"id":109,"date":"2017-08-23T19:21:05","date_gmt":"2017-08-23T19:21:05","guid":{"rendered":"http:\/\/kb.powercode.io\/?post_type=ht_kb&#038;p=109"},"modified":"2019-10-15T18:29:48","modified_gmt":"2019-10-15T18:29:48","slug":"inventory","status":"publish","type":"ht_kb","link":"https:\/\/kb.powercode.com\/?ht_kb=inventory","title":{"rendered":"Inventory"},"content":{"rendered":"<p><strong>Inventory<\/strong> can found under the <strong>Inventory <\/strong>link in the Powercode menu bar. <strong>Inventory <\/strong>has three tabs: <strong>Items, Consumables, <\/strong>and <strong>Products <\/strong>that are used to manage individual and <a href=\"http:\/\/kb.powercode.com\/?ht_kb=bulk-enter-inventory-with-a-handheld-scanner\">bulk <strong>Items<\/strong><\/a> and <strong>Inventory Products<\/strong> respectively.<\/p>\n<h3>Manage Inventory<\/h3>\n<p>Clicking on the <strong>Manage Inventory <\/strong>button near the top of the <strong>Inventory <\/strong>page<img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-954\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory.png\" alt=\"\" width=\"962\" height=\"748\" srcset=\"https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory.png 962w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory-300x233.png 300w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory-768x597.png 768w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory-50x39.png 50w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory-60x47.png 60w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/ManagedInventory-100x78.png 100w\" sizes=\"(max-width: 962px) 100vw, 962px\" \/><\/p>\n<p>From here you can view and delete <strong>Inventory Item, Consumable, <\/strong>and <strong>Product<\/strong> attribute options.\u00a0 There is a checkbox to the left of unused items that allows for mass deletion.<\/p>\n<p>Items like <strong>Customers<\/strong> and <strong>Web Users <\/strong> (also referred to as <strong>Staff) <\/strong>are managed elsewhere.<\/p>\n<h3><b>View RMAs<br \/>\n<\/b><\/h3>\n<p>Clicking on the <strong>View RMAs<\/strong> button near the top of the <strong>Inventory<\/strong> Page brings up a dialog box containing all <strong>RMAs<\/strong>.<\/p>\n<p>Once an <strong>RMA<\/strong> is created, it can be viewed using the <strong>View RMAs<\/strong> button. The system automatically generates an<strong> RMA Code<\/strong> for the <strong>Item<\/strong>. You can update the <strong>Status<\/strong> on the <strong>RMA<\/strong> to keep track of its progress, as well as delete it when the process is complete.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-439\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/InventoryRMACollection-1024x427.png\" alt=\"\" width=\"1055\" height=\"440\" \/><\/p>\n<h3><b>Mass Move Inventory<\/b><\/h3>\n<p>Clicking the<strong> Mass Move Inventory\u00a0<\/strong>button near the top of the page brings up an interface allowing movements of one or more <strong>Inventory Item<\/strong> between two locations in your system.<\/p>\n<p>Choosing a location type and location in either pane will display all inventory at that site, whether that is a <strong>Customer<\/strong> account, <strong>Network Location<\/strong>, <strong>Staff<\/strong> member, or <strong>Stock Location<\/strong>. You can highlight <strong>Inventory Items<\/strong> from that list and use the single arrow buttons to move the highlighted <strong>Items<\/strong> between locations. If you want to move ALL <strong>Inventory Items<\/strong> from a location, use the double arrows.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-438\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/MassMoveInventory-1024x451.png\" alt=\"\" width=\"1079\" height=\"475\" \/><\/p>\n<h3>Admin Settings<\/h3>\n<p>Currently the only setting available on this dialog box is the ability to change the <strong>Min Stock Level<\/strong> email address for alerts. The <strong>Min Stock Level<\/strong> notification is sent automatically when <strong>Inventory Products <\/strong>reach the set minimum stock level.\\<\/p>\n<h3>Columns<\/h3>\n<p>This button allows you to select which column items you wish to display on <strong>Inventory<\/strong> pages.<\/p>\n<h2>Items Tab<\/h2>\n<h3><strong>Add Items<\/strong><\/h3>\n    \t\t<div class=\"hts-messages hts-messages--info   hts-messages--withicon \"   >\r\n    \t\t\t    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\t<strong>Products<\/strong> standardize and enrich <strong>Inventory<\/strong> <strong>Item<\/strong> entries. They are recommended but not technically required when creating<strong> Inventory Items.<\/strong> To first learn how to enter a <strong>Product <\/strong>into Powercode, click on the <strong>Products<\/strong> link to the right.    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t\n<p>To add an <strong>Inventory Item<\/strong> under the <strong>Items<\/strong> tab click the green <strong>Add Items Button.<\/strong><\/p>\n<p>Clicking the red lock labeled <strong>Bulk Entry Mode<\/strong> will change the icon to green and enter <strong>Bulk Entry mode.<\/strong><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-940\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/InventoryAddItems.png\" alt=\"\" width=\"607\" height=\"567\" srcset=\"https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/InventoryAddItems.png 607w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/InventoryAddItems-300x280.png 300w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/InventoryAddItems-50x47.png 50w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/InventoryAddItems-60x56.png 60w, https:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/08\/InventoryAddItems-100x93.png 100w\" sizes=\"(max-width: 607px) 100vw, 607px\" \/><\/p>\n<p><strong>Bulk Entry Mode <\/strong>prevents the dialog box from closing after an <strong>Item<\/strong> is entered. The additional locks that appear next to fields in\u00a0<strong>Bulk Entry Mode<\/strong> will save those fields for multiple entries.<\/p>\n    \t\t<div class=\"hts-messages hts-messages--info   hts-messages--withicon \"   >\r\n    \t\t\t    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\t<\/p>\n<p>We recommend searching for <strong>Inventory Items<\/strong> and bulk entering <strong>Inventory Items<\/strong> with unique <strong>MAC<\/strong> addresses using an inexpensive generic scanner. These can be used to automatically populate <strong>MAC<\/strong> address fields by scanning product bar codes whether you are searching or bulk adding inventory. For more information see <a href=\"http:\/\/kb.powercode.com\/?ht_kb=bulk-enter-inventory-with-a-handheld-scanner\">entering bulk inventory with a scanner.<\/a><\/p>\n<p>    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t\n<p><strong>Product: <\/strong>The <strong>Inventory Item<\/strong> <strong>Product<\/strong>.\u00a0 This is not necessary but it allows Powercode to store relevant <strong>Product<\/strong> data and monitor and query your <strong>Inventory Items<\/strong> by their <strong>Product<\/strong>.<br \/>\n<strong>Name: <\/strong>If you intend to standardize names with <strong>Equipment<\/strong> they must be unique, otherwise this does not matter.<br \/>\n<strong>Assignee Type: <\/strong>Sets the item location to <strong>Customer<\/strong>, <strong>Network<\/strong>, <strong>Staff<\/strong> or <strong>Stock<\/strong>. Make sure to choose <strong>Assignee Type<\/strong> before the following field as the following field will change based on <strong>Assignee Type<\/strong>.<br \/>\n<strong>Customer\/Network Site\/Web User\/Stock Location:\u00a0<\/strong>The precise assignment of the <strong>Inventory<\/strong> <strong>Item<\/strong>.<br \/>\n<strong>Status, Condition:<\/strong> Current state of <strong>Item<\/strong>. Custom entries can be added with the<strong> +<\/strong> icon.<br \/>\n<strong>Equipment: <\/strong>This field is used to associate <strong>Items<\/strong> in <strong>Inventory<\/strong> with <strong>Items<\/strong> in <strong>Equipment<\/strong>.<\/p>\n    \t\t<div class=\"hts-messages hts-messages--info   hts-messages--withicon \"   >\r\n    \t\t\t    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\t<strong>Equipment<\/strong> on a <strong>Customer<\/strong> or <strong>Network Site <\/strong>can be linked to\u00a0<strong>Inventory<\/strong> with this field. Start entering the <strong>Equipment Name<\/strong> and powercode will search results in the database. If there are no available <strong>Equipment Items<\/strong> this field can be left as <strong>None<\/strong> or left blank.<\/p>\n<p>Assigning <strong>Inventory<\/strong> to a <strong>Customer<\/strong> or\u00a0<strong>Network Site<\/strong> will not automatically create a corresponding <strong>Equipment Item<\/strong> for that location. It is possible to create an <strong>Equipment Item<\/strong> at a <strong>Customer<\/strong> or\u00a0<strong>Network Site<\/strong> and assign an available <strong>Item<\/strong> from <strong>Inventory<\/strong> instead of entering an\u00a0<strong>Equipment<\/strong> <strong>MAC <\/strong>address manually.    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t\n<p><strong>MAC: Item<\/strong> <strong>MAC<\/strong> address. Must be unique so it can be associated with <strong>Equipment.<\/strong><\/p>\n    \t\t<div class=\"hts-messages hts-messages--alert   hts-messages--withicon \"   >\r\n    \t\t\t    \t\t\t    \t\t\t\t<p>\r\n    \t\t\t\t\tAdding multiple <strong>Items<\/strong> with identical <strong>MAC<\/strong> addresses cause severe problems when linking <strong>Inventory<\/strong> items to <strong>Equipment<\/strong> and is not recommended. An <strong>Item<\/strong> in <strong>Equipment<\/strong> can be linked to <strong>Inventory<\/strong> by its <strong>MAC<\/strong> address, but this will not work correctly if there are multiple <strong>Inventory Items<\/strong> with the same <strong>MAC<\/strong> address.    \t\t\t\t<\/p>\r\n    \t\t\t    \t\t\t\r\n    \t\t<\/div><!-- \/.ht-shortcodes-messages -->\r\n    \t\t\n<p><strong>DUID, Serial, Cost, Notes:\u00a0<\/strong>These fields offer additional information input for the <strong>Inventory Item.<\/strong><\/p>\n<p>&nbsp;<\/p>\n<h3><b>Edit Item<br \/>\n<\/b><\/h3>\n<p>On the <strong>Items<\/strong> tab of the <strong>Inventory<\/strong> page, select the pencil shaped\u00a0<strong>Edit<\/strong> button to the right of the <strong>Item<\/strong> to make changes to a single I<strong>tem<\/strong>.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-431\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/ItemEditMenu.png\" alt=\"\" width=\"741\" height=\"738\" \/><\/p>\n<p><strong>Date Created <\/strong>and the name at the top of the box are unique to existing <strong>Items<\/strong>.<\/p>\n<h3><b>Inventory History Logs<\/b><\/h3>\n<p>When an <strong>Inventory Item <\/strong>is edited in any way, the system will add a log to that <strong>Item<\/strong>.<\/p>\n<p>This is viewable by clicking the circular blue <strong>Item History Button<\/strong> on the right side of the <strong>Inventory<\/strong> page <strong>Items<\/strong> tab.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-434\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/ItemHistory.png\" alt=\"\" width=\"727\" height=\"397\" \/><\/p>\n<h3>Mass Edit\/Delete<\/h3>\n<p>You can also edit or delete multiple <strong>Items<\/strong> at once using the check boxes on the left side of each entry and then clicking the <strong>Edit Items<\/strong> or <strong>Delete Items<\/strong> buttons that appear next to the green <strong>Add Items<\/strong> button.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-432\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/EditMultiple-1024x198.png\" alt=\"\" width=\"2487\" height=\"481\" \/><\/p>\n<p>&nbsp;<\/p>\n<h3>Create RMA<\/h3>\n<p>When <strong>Inventory Items<\/strong> are assigned to a customer, a red <strong>RMA<\/strong> button will\u00a0 appear as an option on the right side of the entry.\u00a0 This allows the creation of an <strong>RMA <\/strong>for the equipment\u00a0 for the return request.<\/p>\n<p>When clicking on that button, the system will prompt you to enter a <strong>Reason<\/strong> for the return merchandise authorization.<\/p>\n<h2><b>Consumables Tab<br \/>\n<\/b><\/h2>\n<p>In order to add <strong>Consumables<\/strong>, such as different types of cable, zip ties, or other supplies, we first need to add a <strong>Product<\/strong> for the consumable.<\/p>\n<p>Clicking <strong>Add Consumable <\/strong>will allow you to choose the <strong>Product<\/strong> and <strong>Quantity<\/strong> of the consumable you would like to add to <strong>Inventory.<\/strong><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-435\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/Consumables-1024x145.png\" alt=\"\" width=\"2478\" height=\"352\" \/><\/p>\n<p>To the right of each <strong>Consumable<\/strong> in <strong>Inventory<\/strong> you can use the <strong>+ <\/strong>and <strong>&#8211; <\/strong>icons to add or subtract a number of <strong>Consumables<\/strong>. The pencil icon allows you to directly edit the number of a consumable in <strong>Inventory<\/strong>. The graph icon will display a <strong>Consumable History <\/strong>graph to help you track trends in use over time.<\/p>\n<h2><b>Products Tab<br \/>\n<\/b><\/h2>\n<p>Under the <strong>Products<\/strong> tab on the <strong>Inventory<\/strong> page you will see a list of all <strong>Products<\/strong> currently existing in your instance of Powercode.<\/p>\n<p>To create a new Product click <strong>Create Product<\/strong> under the <strong>Products<\/strong> tab. You will be asked to enter the following <strong>Product<\/strong> information:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"wp-image-436 size-full\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/CreateProductCategory.png\" alt=\"Fields include Name, a checkbox marking the product type as consumable, model, UPC, manufacturer, Vendor Type, Price and Minimum Stock Level.\" width=\"654\" height=\"523\" \/><\/p>\n<p><strong>Name<\/strong>: <strong>Product<\/strong> name<br \/>\n<strong>Consumable: Consumables<\/strong> are commodity <strong>Items<\/strong> sold in bulk rather than individually. They can be found under the <strong>Consumable Tab<\/strong>. All other <strong>Products<\/strong> are found individually under the <strong>Product Tab<\/strong>.<br \/>\n<strong>Unit: <\/strong><em>(Consumable only)<\/em> This is the number of individual <strong>Products<\/strong> that constitute one unit. For example 12 screws, or two tie-downs.<br \/>\n<strong>Model,<\/strong> <strong>UPC: <\/strong>Identifying information for each <strong>Product<\/strong>.<strong><br \/>\n<\/strong><strong> Manufacturer, Vendor<\/strong>: Identifying information for each <strong>Product<\/strong>. Additional options can be added with the<strong> + <\/strong>icon.<br \/>\n<strong>Type: <\/strong>The larger category this <strong>Product<\/strong> belongs to (ie. access points, routers).<br \/>\n<strong>Price: Unit<\/strong> cost.<br \/>\n<strong>Min Stock Level: <\/strong>This <strong>Product<\/strong> on the <strong>Products<\/strong> tab will be highlighted with yellow within 20% of the minimum stock value. A warning email will be sent upon reaching the <strong>Min Stock Level<\/strong>.\u00a0 By clicking the <strong>Admin Settings<\/strong> button on this page you can set the email address that stock level notifications are sent to.<\/p>\n<p>The <strong>Inventory <\/strong><strong>Products<\/strong> <strong>Tab<\/strong> is shown below. <strong>My Prod<\/strong> is below the minimum stock level and <strong>My Prod V02<\/strong> is within 20% of the minimum level.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-437 size-full\" src=\"http:\/\/kb.powercode.com\/wp-content\/uploads\/2017\/09\/InventoryProductsTab-1024x240.png\" alt=\"\" width=\"2481\" height=\"581\" \/><\/p>\n<p>You may delete or edit <strong>Products<\/strong> with the pencil and trash can icons to the right of the <strong>Product&#8217;s <\/strong>column.<\/p>\n<h3>Product History<\/h3>\n<p>The graph icon to the far right of the <strong>Inventory Product <\/strong>will display the historical distribution of that product.
